The long-term migration to SAP S\/4HANA or SuccessFactors is a major strategic project. However, along the way, there are indispensable, legally required mandatory updates that cannot be delayed. In autumn 2025, your SAP HCM payroll <\/b>will face two critical technical and functional challenges: the mandatory ERIC 42 update<\/b> and the transition to the digital transmission of private health insurance (PKV) data starting in 2026.<\/b> <\/p>\n

We will show you why these deadlines are an absolute priority and how to secure your systems in time.<\/p>\n

1. ERIC 42 Update: Why November 11, 2025, is Critical<\/h3>\n

The transmission of your wage tax data to the tax authorities is carried out via the ELSTER Rich Client (ERIC)<\/b>, a component that must be constantly adapted to new legal requirements. The upcoming version 42 is the foundation for integrating private health insurance (PKV) data. <\/p>\n

What happens on November 11, 2025?<\/b><\/h4>\n

The tax authorities will technically convert the ELStAM procedure interface on November 11, 2025. Notifications using the old interface version will be accepted for the last time until 2:00 PM. Response data will still be provided via the old interface until 6:00 PM. The tax authorities recommend not submitting any registrations, changes, or de-registrations on November 11\u2014only the retrieval of response data should be continued. Starting from November 12 at 7:00 AM, the system will exclusively accept notifications created with the new ERiC version 42. <\/p>\n

What do I risk if the ERIC update is missing?<\/b><\/h4>\n

Failure to update in a timely manner will result in an immediate halt of your communication with the authorities. All electronic notifications will be rejected. A typical consequence is error code VH 551005010 <\/b>when transmitting your ELStAM data.<\/b> <\/p>\n

Without successful transmission, you risk the legally compliant execution of your payroll. This is a clearly avoidable compliance risk.<\/p>\n

How do I ensure that my SAP HCM ERIC update is performed on time?<\/b><\/h4>\n
    \n
  1. Check Version:<\/strong> Use the SAP report RPUTX1D0 in your HR system to verify the ERIC version currently deployed on the middleware.<\/li>\n
  2. Apply SAP Notes:<\/strong> Your IT department must implement the relevant SAP Notes (specifically 3602560) before November 11, 2025.<\/li>\n
  3. Check Middleware:<\/strong>\n
      \n
    • SAP Cloud Integration (CI): The update is usually applied automatically by SAP.<\/li>\n
    • SAP Business Connector (BC) and SAP PI\/PO: In this case, a manual installation of the ERIC version 42 patches is mandatory. This requires close coordination and planning. <\/li>\n<\/ul>\n<\/li>\n<\/ol>\n

      2. ELStAM-PKV 2026: The Digitalization of Pension Expenses<\/h3>\n

      Starting January 1, 2026, the data exchange for private health and long-term care insurance (PKV) contributions will be fully digitalized. The tedious manual submission of paper certificates by employees will no longer be necessary. Insurance companies will report the relevant data directly to the Federal Central Tax Office (BZSt), which in turn integrates it into the ELStAM data for retrieval by the employer. <\/p>\n

      What impact will the ELStAM expansion have on the 2026 payroll?<\/b><\/h4>\n

      The change directly affects the calculation of wage tax:<\/p>\n

        \n
      • New data source: Employers will only take into account the PKV monthly contributions transmitted electronically via ELStAM.<\/li>\n
      • Elimination of the minimum pension allowance: If the PKV data is not retrieved, the minimum pension allowance may no longer be taken into account as of 2026.<\/li>\n
      • Net consequences: This leads to a higher wage tax burden, particularly for privately insured employees in tax classes V and VI.<\/li>\n<\/ul>\n

        Planning Note: To correctly start the payroll for the following year, 2026, the expanded ELStAM data must already be retrievable and processable starting from December 2025.<\/strong><\/p>\n

        What does this mean specifically for my SAP HCM system?<\/b><\/h4>\n

        The ELStAM-PKV integration requires functional and technical customizing adjustments in your SAP HCM system, which are provided through corresponding SAP Notes (e.g., 3626200). If these are implemented in time, your system will be able to process the new data and calculate wage tax correctly.<\/p>\n

        The critical deadline for the ERiC 42 update in November 2025 is non-negotiable. It is the technical prerequisite for the correct processing of your payroll and the introduction of digital PKV data starting in 2026. <\/p>\n
